Migrate to iplicit I Finance System Migration

Moving From one finance system to another is one of the more significant operational decisions a finance team will make. When organisations migrate to iplicit

Most organisations come to iplicit from one of a small number of common starting points:

  • A legacy on-premise system -such as OpenAccounts or Sage 200-that is approaching end of life or no longer supported
  • An entry-level cloud system – such as Xero, QuickBooks, or Sage 50 – that has been outgrown
  • A disconnected set of spreadsheets and workarounds that have accumulated around an inadequate core system
  • A post-merger or restructuring situation that requires consolidation onto a single platform

What a migration to iplicit involves

Data assessment

Before any migration work begins, we review your existing data. Volume, quality, structure, and known issues. Not all historical data needs to migrate­we agree the scope with you upfront and document what is in scope, what will be archived, and what needs cleaning before it moves.

Data mapping

We map your source data to iplicit’s structure. Chart of accounts, cost centres, departments, dimensions, supplier and customer records, opening balances. Everything is documented before a single record moves to the new system.

Test migration

A full test load runs into a staging environment and is reconciled against the source data. Any discrepancies are resolved before production. Your finance team has the opportunity to validate the data in the test environment before sign-off.

Final migration and cut-over

On an agreed cut-off date, the production migration runs. Opening balances are validated, reconciled, and confirmed before go-live. We do not proceed to go-live if the numbers do not match.

Common migration challenges – and how we handle them

  • Poor data quality in the source system – Legacy systems often contain years of accumulated data issues- duplicate records, inconsistent coding, incomplete transactions. We identify these during the assessment phase and work with your t eam to resolve them before migration, rather than carrying the problems into the new system.
  • Complex chart of accounts – Organisations with multiple entities, cost centres, or project structures often find that their existing chart of accounts does not map cleanly to iplicit’s structure. We work through this mapping carefully, using the migration as an opportunity to rationalise and improve rather than simply copy across.
  • Historical data requirements – How much historical data you need to migrate — and in what form — varies considerably. Some organisations need full transaction history; others need opening balances and a defined period of comparative data. We agree the right approach for your organisation and build the migration plan accordingly.

Replacing legacy finance systems

For organisations moving from older on-premise platforms – particularly systems that are approaching end of life -the migration process carries additional complexity. Data formats may be non-standard, documentation may be limited, and the source system may no longer be actively supported.

How long does a migration to iplicit take?

It depends on the complexity of your data and the system you are migrating from. A clean migration from an entry-level cloud system typically adds two to three weeks to an implementation timeline. A migration from a legacy on-premise system with large data volumes and complex structures will take longer. We give you a realistic estimate after the data assessment stage.

Do we need to migrate all of our historical data?

No. Many organisations choose to migrate opening balances and a defined period of comparative data -typically one or two years-and archive the rest. We help you make that decision based on your reporting requirements and the quality of your historical data.

What if our data quality is poor?

We have handled migrations from systems with significant data quality issues. The key is identifying those issues during the assessment phase, before they affect the migration. A clean migration from imperfect source data is entirely achievable-it just requires more preparation.

Can we keep our existing system running during the migration?

Yes. Most migrations run with parallel operation for a defined period. We help you plan the parallel window and agree the criteria for final cut-over.
